BOOKING CONDITIONS
We apologise for having so many different sets of Tc's & C's but in this post pandemic ever shifting world we live in we have had to adapt our conditions accordingly
1. THE CONTRACT
The Contract for a short-term holiday rental will be between The Quantock Cottage Partnership whose properties consist of Coleridge, Greenway and the Quantock Hide cottages (referred to as “us” or “we”) and the lead booker (referred to as “you”) under the following booking conditions English law will govern the Contract.
The Contract will be subject to these booking conditions and must be complied with. The lead booker agrees to take full responsibility for ensuring that all the following Terms and Conditions are adhered to and must personally stay at the accommodation throughout the holiday and be at least 18 years of age at the time of booking.
A breach of any part of this policy will constitute a breach of the contract between us and may result in you being asked to leave the property with immediate effect and without compensation.
2. PAYMENT
Bookings are confirmed on receipt of the booking form and receiving the deposit of 33% of the holiday cost or 100% of the holiday cost if the commencement date of your holiday is within 56 days. The balance of the rental of the accommodation cost will be due for payment 56 days before the arrival date. You will be sent an email notification that the balance is due 5 days prior to the balance due date. If your payment has not been received by 54 days before the commencement date of the holiday, we will assume that you wish to cancel and we reserve the right to re-let the holiday. If we are unable to re-let the holiday you remain liable for the outstanding balance of the cost of the holiday and your deposit is non-refundable. No entry to properties will be allowed without payment, in full, being cleared beforehand.
3. CANCELLATION
Cancellations must be immediately notified to us by email.
a) Corona Virus 19 Pandemic
In the event that you are prevented from having your holiday due to either us or you being in a Government mandated tier level or a national lockdown that prevents you from travelling the following will be applicable:
What you will be refunded: 100% of any accommodation & dog fees (if applicable) that you have paid.
What we will retain: The 8% booking fee (which was 8% of the full cost of your holiday) which you paid when you made your booking. This fee is a disbursement to cover some of our expenses incurred during the booking and then subsequent cancellation process. These costs include our admin costs, bank fees and accounting fees.
b) Cancellation for reasons other than those related to the Corona Virus 19 Pandemic
In the event that you or any of your party wish to cancel your holiday for any reason to include but not limited to, accident, illness (including Covid) a requirement or recommendation to self-isolate, quarantine, shield, family emergencies, jury service, bereavement (of both human and pet) other than those mentioned in point 3.a the following will be applicable:
Our undertaking: We will seek to re-let your holiday by advertising it as available on our website and other social media platforms as appropriate.
If we are able to re-sell your holiday:
What you will be refunded: In the event that we are able to re-book your holiday we will refund the accommodation & dog frees (if applicable) that you have paid less -
What we will retain: The booking fee & the cost differential if applicable: If we have to reduce the cost of the holiday in order to get it re-let. i.e. if you paid £550 for your break and we can only sell it at £500 then we will retain the difference of the £50 as this is a direct loss to us.
In this example the total you would receive back us would be £550 less the 8% booking fee of £44 and less the cost differential in selling it on, thus in this example it would be less £50 so you receive back from us £456
If we are unable to re-sell your holiday:
If your holiday is more than 71 days away:
What you will be refunded: If you have paid your balance of your holiday or part thereof we will refund this to you.
What we will retain: Your 33% deposit & booking fee (which was 8% of the full cost of your holiday)
If your holiday is 70 days or less away:
What you will be refunded:
The direct costs that we would have had to incur should your stay have gone ahead as planned these would include: welcome pack, house-keeping, gardening, maintenance and laundry.
What we will retain: The full cost of your holiday less the direct costs as stated above
4. YOUR HOLIDAY INSURANCE
We cannot recommend highly enough that you take out holiday insurance with a reputable insurer to cover you in the event that you have to cancel your holiday. It is your responsibility to check that your insurance cover is adequate and provides for such risks, but not limited to, illness (including Covid related illness ) requirement to self-isolate, accident, bereavement/illness (of both human and pet) or just a disinclination to take your holiday with us, together with the provision for bad weather in particular snow (if we are able to ready the cottage and its parking areas for you, but you don’t choose to travel and or including met office red weather warnings, you will not be entitled to a refund from us. This you would need to claim from your holiday insurance company. We will provide you with the necessary documentation that your insurance company will require ie proof of booking.
If we are unable to ready the cottage for you due to snow you will be fully refunded less the non-refundable 8% booking fee. If you choose not to take out UK travel insurance, then you accept responsibility for ANY loss that you may incur due to your cancellation.
There are many organisations offering UK holiday cancellation cover and many now also provide for Covid illness/self isolation cancellation cover. Here are a few examples of organisations cover or www.coverwise.co.uk/travel-insurance/corona-virus.aspx or. & the Post Office.
Please note that we do not sell insurance, we do not recommend any particular company, we receive no financial gain from these companies, they are purely here to demonstrate that there are organisations who cover UK holidays.
5. CIRCUMSTANCES BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE)
If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the lodging costs based on the time remaining of the booking. This will be the full extent of the liability of the Owners. No additional compensation, expenses or costs will be payable.
6. PERIOD OF HIRE & USE OF THE PROPERTY
You must not use the property except for the purpose of a holiday during the holiday period and not for any other purpose or longer period. Arrival time is from 3pm onwards. Departure is by 9.45 am. The agreement to stay in the property for the holiday period does not create the relationship of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the holiday period.
7. LIABILITY
You indemnify us against loss, damage or injury sustained to the property or any persons as a result of any breach of these conditions or arising from the fault of you or any member of your party.
8. RIGHT OF ENTRY
We shall be allowed reasonable right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.
9. ACCURACY OF DETAILS
The information on the website is as accurate as possible. However, facilities may be altered or withdrawn for reasons outside our control, in which case we cannot accept responsibility. We make every effort to ensure that the property details supplied are accurate. Mistakes may occur from time to time and confirmation should be requested prior to booking. You must accept minor differences between text/photograph on the website and the actual property. We cannot accept responsibility should the property not conform to your standards. If a facility is particularly important to you, please check with us prior to booking.
10. NUMBER OF PERSONS USING THE PROPERTY
Under no circumstances may more than the maximum number of persons stated on the Quantock Cottages website occupy the property, unless by prior arrangement with us. We reserve the right to terminate the holiday if this condition is not observed.
11. CARE OF THE PROPERTY
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as at the beginning. Failure to do so may result in charges for additional cleaning to return the property to its original state.
You undertake the leave the property secure if left unoccupied during the period of let.
You must not use the property for any dangerous, offensive, noxious, noisy, immoral activities or carry on there any act that may be a nuisance or annoyance to us or other neighboring properties. The cottages are in a very quiet rural quiet area and we ask that you respect that.
12. DAMAGES & BREAKAGES
You must report and pay to the us the cost of any damage or breakages made during your occupancy.
13. DOGS
Responsible pet owners are more than welcome and the following applies: young pets i.e., dogs less than six months old at the time of the intended visit MUST be declared to us at the time of booking and authorised by us. If a puppy or young pet is taken to the property without our consent this could result in you being asked to leave without compensation. When booking online it is advised you check the acceptance of your young dog by either telephone or email to us.
Dog Owners are to observe the following rules (failure to do so may result in you being asked to leave without compensation) Dogs must be under strict control at all times while in the property, the gardens and the immediate area and this includes excessive barking. Any fouling must be cleared up. Dogs MUST NOT be left alone in the cottage or gardens unless you have written permission from us. All pet hair must be cleared before departing. Failure to do so may incur an additional charge which is at the owner's discretion. Dog owners must ensure that their pets are free from parasites and fleas before they occupy the property. Failure to do so may incur subsequent charges. Each dog or pet will be charged at £35.00 per week or part week.
14. COMPLAINTS
Every effort is made to ensure that you have an enjoyable stay. However, if you have any problem or cause for complaint, it is essential that you contact us or our designated representative at once to give us/ they the chance to resolve it. We value your custom and want you to return and we will do our best to resolve any problem. In no circumstances will compensation be considered for complaints raised after the holiday has ended when you have either not informed us or our nominated representative and given us/them the opportunity of investigating the complaint and endeavor to remedy the matter during the holiday.
15. WIFI
Wfi is provided for your use. You agree to reasonable and lawful usage of this service.
16. NIGHT LANTERNS & FIREWORKS
Fireworks and night lanterns are expressly forbidden as they are a fire hazard and can cause death and or injury to local livestock and wildlife
17. ELECTRIC VECHICLE CHARGING
We do not have EV Charging points. The use of use of domestic chargers is strictly forbidden. It poses a significant fire risk and could invalidate our insurance. See Appendix A for our full EV policy.
18. THIRD PARTY SUPPLIERS (chefs/in cottage beauty treatments etc)
If you want to use the services of a third-party supplier, whilst staying at the property who are not Dineindulge,Glow Pamper or Jemima Collins who are our accredited 3rd party suppliers and you wish to use any other 3rd party for any services, we need to see the third-party supplier’s public liability insurance, and any other related/required certification. We will then seek approval from our insurers to allow the third-party activity to take place. If all insurances and certification are satisfactory to us and our insurers, permission to invite these suppliers to property will not be unreasonably withheld. We do not accept liability for the activities of these third-party suppliers.
19. HOT TUBS
For your comfort and safety, we change the water in the hot tubs between each set of guests. Please be advised that your tub might not be up to temperature for the first evening of your arrival. The hot tubs have been set and will come up to 38 degrees.
No children of 4 or under are to use the hot tub and bathers of 16 and under must be accompanied by an adult.
Persons with heart disease, diabetes, low or high blood pressure, pregnancy or any serious illness should not enter the hot tub without prior consultation with their doctor.
Do not use the hot tub while using or after using narcotics, alcohol or other drugs that may cause sleepiness, drowsiness or raise/lower blood pressure. The heat of the hot tub water speeds up the effects of alcohol and can cause sleepiness, dizziness and unconsciousness. See Appendix B For full policy
It is your responsibility to familiarise yourself and your party with the procedures to followed in the event of a hot tub related emergency. See Appendix C For emergency procedure policy
20 SMOKING
Smoking is strictly prohibited within the cottages. Guests are welcome to smoke in the gardens away from any fence lines or buildings. If there is evidence/smell of smoking within the cottage we reserve the right to charge not only additional cleaning fees but also if required the re accommodating of the incoming guests in alternative premises of a similar standard, until the smell of/evidence of smoking is no longer, and the cottage is fit for the incoming guests to take occupation. See Appendix D for full policy.
21. GENERAL
In the event that any individual term or clause stated in these Terms and Conditions of Let is not permissible by law, the remainder of the agreement shall remain valid.

About this policy
This policy sets out how Electric Vehicles (EV) should be recharged while staying at anyone of the 3 Quantock Cottage properties.
These are the responsibilities of EV owners in respect of safe charging:
Any reference to "Property" in this policy is a reference to the Property including any garden, grounds, outbuildings, garages or communal spaces.
This policy forms part of our contract with you. A breach of this policy will constitute a breach of the contract between us.
Who does this policy apply to?
This policy applies to all members of the Booking Party and such other visitors of the Property. It shall be the responsibility of the Lead Guest to inform all members of the Booking Party and any visitors of this policy.
What is an Electric Vehicle?
For the purpose of this policy an EV is any vehicle that uses electric motors, either fully or partially, to drive its wheels. It will derive some or all its power from rechargeable batteries which requires connection to the electricity grid (plug-in). This includes fully chargeable and plug-in hybrid cars, motorbikes, buggies, scooters, mopeds, bicycles, utility vehicles and tracked vehicles.
Domestic chargers are not permitted at the Property
Most EVs are supplied with a domestic charger, commonly known as a 'granny charger' or a ‘trickle charger’. These cables recharge the EV using a domestic power source via a 3-pin wall socket.
Domestic chargers are not suitable for use in the Property and will create a fire hazard. The use of domestic chargers is strictly forbidden.
We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use in the Property.
We do not have on-site charging facilities at the Property and you must make your own arrangements for EV charging. The closest charge points to the Property are 5 miles away in the nearest town which is Williton. The chargers are located in the council car park adjacent to the police station:
APPENDIX B = HOT TUB POLICY
About this policy
This policy sets out how the hot tubs at the 3 Quantock Cottage properties are to be used.
Our hot tubs are available for use year-round.
For your comfort and safety, we change the water in the hot tubs between each set of guests. As a result, please be advised that your tub might not be up to temperature for the first evening of your arrival.
The hot tubs have been set and will come up to 38 degrees. This is a lovely comfortable bathing experience temperature. Do remember particularly in cold weather that you are sitting in the equivalent of a large outside bath, so do expect that temperature to drop.

Parents are advised that the hot tubs are not suitable for children under the age of four and bathers under 16 must be accompanied by an adult.

During pregnancy soaking in the hot tub may cause damage to the foetus so contact your doctor for advice before entering the water

Persons with heart disease, diabetes, low or high blood pressure, or any serious illness should not enter the hot tub without prior consultation with their doctor

People with skin, ear, genital or other body infections, open sores, or wounds should not use the hot tub because of the possibility of spreading infection or irritating your condition

Never use the hot tub while using or after using narcotics, alcohol or other drugs that may cause sleepiness, drowsiness or raise/lower blood pressure. The heat of the hot tub water speeds up the effects of alcohol and can cause sleepiness, dizziness and unconsciousness.

limit your time in the hot tub to a maximum of 20 minutes before exiting and having a break as extending this time can affect your inner organs and cause fever like conditions.

Do not immerse your head in the hot tub water. This increases the risk of infection and can heighten the dangers of drowning

Never use the hot tub alone

Take care when entering and leaving the hot tub. When leaving the hot tub leg, muscles may be relaxed enough to make you unsteady

Never use glass near/in the hot tub as broken glass can cause a risk to people in bare feet and is very difficult to see within the hot tub water
-
Do not use any electrical appliances near/in the hot tub
-
Shower with soap and water before and after using the hot tub. Showering before use washes away many of the common skin bacteria and removes lotions, deodorants, creams etc which reduce the effectiveness of the spa sanitizer which disinfects the water and can cause the water to turn a murky product induced colour.

When not in use please make sure that the cover is on and secured

Avoid using the hot tub immediately after a heavy meal
-
Avoid entering the hot tub water immediately after exercising as the water temperature can affect your heart rate
-
Take care on the decking/hot tub steps as water from the tub can cause it to be slippery

If any allergic reaction occurs leave the hot tub and rinse off in the shower. If the reaction persists contact the owners or go to a local doctor or A&E
-
No more than 4 persons at once should use the hot tub
-
Do not turn hot tub isolation switch off as the hot tub’s power needs to be turned on to carry out the cleaning cycles.

Do not walk or allow children or dogs to walk on top of the hot tub covers, they are fragile, expensive and could result in person/s, dog to fall into to the tub.

Please respect the local wildlife and the neighbours in this beautiful quiet countryside as they may not have the same taste in music as you do, so if you could keep the volume right down so only you can hear it all will be most grateful.
It is your responsibility to enforce and abide by the rules of safety of the Quantock Cottages hot tubs.
If the hot tub needs to be shut down and emptied due to misuse which can include but not limited to, foods, liquids, oils, bubble bath being used in it or dogs having been in it, this will incur a charge of £100.
If any fault or damage occurs to the hot tub, please contact a member of the Quantock Cottage team as soon as possible.
The hot tubs are checked regularly by members of the team.
APPENDIX C = HOT TUB EMERGENCY PLAN
About this policy
This policy sets out the procedures to be taken in the event of an accident/emergency whilst using one of the hot tubs while staying at anyone of the 3 Quantock Cottage properties.
Any reference to "hot tub" in this policy is a reference to not only the hot tub, but the immediate area surrounding it for example the decking.
IN THE EVENT OF AN EMERGENCY

Access the nature of the incident and decide, as a matter of urgency, whether to contact the Emergency Services by calling 999 or only to simply administer first aid, or both.
FIRST AID PROVISION AND EMERGENCY EQUIPMENT
Coleridge & Greenway: A First Aid Box is located in the boot room.
The Quantock Hide: A First Aid Box is located in the top of the larder unit left of fridge.
A Defibrillator: Located on the front wall of Hood Arms, which is at the bottom of the lane.
Hot Tub Power Isolators: Coleridge & Greenway socket next door to tub. The Quantock Hide = back of tub under the cover lifters.

Follow instruction from the Emergency Service’s Call Handler

In cases of broken bones, suspected spinal cord injury (SSCI) or unconsciousness do not move the patient until first aid has been given and or a Paramedic/Doctor has authorised the movement of the casualty.

If the heart has stopped beating commence cardiopulmonary resuscitation (CPR). Continue CPR until the casualty restarts breathing and a pulse is found, or until Paramedics take over. Patients who have been resuscitated should be placed in the recovery position and should be treated for shock until the ambulance arrives.
All cases of head injury or SSCI should be treated as serious and an ambulance should be called. In no circumstances, should the casualty be permitted to return to the hot tub at any stage even if they appear to be well. Delayed concussion is a real possibility and may lead to loss of consciousness in the hot tub.
Report all incidents and actions taken to the owners or their nominated representative.
APPENDIX D = SMOKING POLICY
About this policy
This policy sets out our smoking policy while staying at anyone of the 3 Quantock Cottage properties.
Any reference to "smoking" in this policy is a reference to not only cigarettes but also all types of electric and Vape cigarettes.
Smoking is strictly prohibited within the cottages.
Guests are welcome to smoke in the gardens away from any fence lines or buildings. Please under no circumstances smoke by the doors of the cottage, you might be outside, but the smoke easily drifts in and with the thick handmade curtains it is impossible to get rid of the smell without having to send them to a specialist dry cleaner which will result in a substantial cost to yourself. More to the point the cottages are timber clad and thus there is a very real fire risk.
NB if you wish to smoke outside, please advise us in advance so that we may put out for your use an appropriate fire-retardant bucket.
If there is evidence/smell of smoking within the cottage we reserve the right to charge not only additional cleaning fees that we will incur to try and remedy the situation, but also if required the re accommodating of the incoming guests in alternative premises of a similar standard, until the smell of/evidence of smoking is no longer, and the cottage is fit for the incoming guests to take occupation.

You indemnify us against loss, damage or injury sustained to the property or any persons as a result of any breach of these conditions or arising from the fault of you or any member of your party.
8. RIGHT OF ENTRY
We shall be allowed reasonable right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.
9. ACCURACY OF DETAILS
The information on the websites are as accurate as possible. However, facilities may be altered or withdrawn for reasons outside our control, in which case we cannot accept responsibility. We make every effort to ensure that the property details supplied are accurate. Mistakes may occur from time to time and confirmation should be requested prior to booking. You must accept minor differences between text/photograph on the website and the actual property. We cannot accept responsibility should the property not conform to your standards. If a facility is particularly important to you, please check with us prior to booking.
10. NUMBER OF PERSONS USING THE PROPERTY
Under no circumstances may more than the maximum number of persons stated on the Quantock Cottages website occupy the property, unless by prior arrangement with us. We reserve the right to terminate the holiday if this condition is not observed.
11. CARE OF THE PROPERTY
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as at the beginning. Failure to do so may result in charges for additional cleaning to return the property to its original state. We reserve the right to make a charge where guests have contravened our request for the properties to be smoke free.
You undertake the leave the property secure if left unoccupied during the period of let. You must not use the property for any dangerous, offensive, noxious, noisy, immoral activities or carry on there any act that may be a nuisance or annoyance to us or other neighboring properties.
12. DAMAGES & BREAKAGES
You must report and pay to the us the cost of any damage or breakages made during your occupancy.
13. DOGS
Responsible pet owners are more than welcome and the following applies: Young pets i.e. dogs less than six months old at the time of the intended visit MUST be declared to us at the time of booking and authorised by us. If a puppy or young pet is taken to the property without our consent this could result in you being asked to leave without compensation. When booking online it is advised you check the acceptance of your young dog by either telephone or email to us. Dog Owners are to observe the following rules (failure to do so may result in you being asked to leave without compensation) Dogs must be under strict control at all times while in the property, the gardens and the immediate area. This includes excessive barking. Any fouling of lawns must be cleared up. Dogs MUST NOT be left alone in the cottage or gardens. Dog are not allowed on the beds. All pet hair must be cleared before departing. Failure to do so may incur an additional charge which is at the owner's discretion. Dog owners must ensure that their pets are free from parasites and fleas before they occupy the property. Failure to do so may incur subsequent charges. Each dog or pet will be charged at £35.00 per week or part week.
14. COMPLAINTS
Every effort is made to ensure that you have an enjoyable stay. However, if you have any problem or cause for complaint, it is essential that you contact us or our designated representative at once to give us/ they the chance to resolve it. We value your custom and want you to return and we will do our best to resolve any problem. In no circumstances will compensation be considered for complaints raised after the holiday has ended when you have either not informed us or our nominated representative and given us/them the opportunity of investigating the complaint and endeavor to remedy the matter during the holiday.
15. WIFI
Wfi is provided for your use. You agree to reasonable and lawful usage of this service.
16. NIGHT LANTERNS & FIREWORKS
Fire works and night lanterns are expressly forbidden as they are a fire hazard and can cause death and or injury to local livestock and wildlife.
17. GENERAL
In the event that any individual term or clause stated in these Terms and Conditions of Let is not permissible by law, the remainder of the agreement shall remain valid.
